The Problem

A real estate services firm needs current information related to subject properties from the county tax assessor and treasurer office.  These addresses and pertinent information are gathered to prepare mailing campaigns to offer incentives for the owners to consider selling their property.  Because this information changes frequently, it was necessary to always confirm the information by searching for the property on the county website immediately prior to preparing the campaign mailing.  To do so, employees had to manually enter the address, download a CSV file with the requested information, and then transcribe this information into a mailing list.

The Solution

KellerWay developed an application using MS Access and VBA coding to automate all the tasks that were previously performed manually.  From within the application, a user is able to enter a street address, click a “search” button, and the database retrieves the appropriate information from the website in seconds!    Every part of the record is made available to the user and they can then decide to import the property into their master list.  From the individual property record, the user could easily retrieve any new information by clicking the “update” button. 

 

Each user at the firm was given their own login credentials to enter and manage their own properties. Mailing campaigns and lists are easily created by filtering properties based on selected data parameters.   These lists can be exported in various formats or used to generate letters and emails to be sent to property owners.
